This policy explains what personal data Meortech collects when you use our website or send us an application or inquiry, why we collect it, how long we keep it and the rights you have.
1. Who we are
This website, meortechnologies.com, is operated by Meor Technologies ("Meortech", "we", "us"), a company headquartered in Accra, Ghana. We are the data controller for the personal data described in this policy.
We handle personal data in line with Ghana's Data Protection Act, 2012 (Act 843) and, where it applies to you, the EU and UK General Data Protection Regulation (GDPR).
2. What data we collect
We only collect what you give us through our forms, plus limited technical data needed to run the site securely.
| Source | Data |
|---|---|
| Job application (Apply page) | Name, email, phone number, location, the role you're applying for, availability, preferred work type, work experience, current company, education, skills, languages, your answers to our questions, CV/resume file, LinkedIn URL, salary expectations, how you heard about us and any notes you add. |
| Equal-opportunity questions (optional) | Gender and disability status. These are entirely voluntary, default to "Prefer not to say", and never affect your application. |
| Ohr Institute application | Name, email, professional background, course of interest, your personal statement and CV/resume file. |
| Contact form | Name, email, role/organisation, reason for contact and your message. |
| Talent pool | Your email address and your confirmation that you want to join. |
| Technical data | IP address, browser type and the pages requested — processed by our hosting providers and briefly by our form-processing service to block spam and abuse (for example, limiting how many forms can be sent from one address per hour). |
| Analytics (only if you accept) | Aggregated, anonymous usage statistics such as pages visited, referring site, country and device type. No cookies are set and no personal profile is built. See Cookies & analytics. |
3. How we use your data
- Recruitment — to assess your job application, contact you about it and, if successful, prepare an offer.
- Admissions — to assess your Ohr Institute application and contact you about programmes and cohorts you applied for.
- Communication — to reply to your inquiry and send the confirmation emails you'd expect after submitting a form.
- Talent pool — to email you about roles that may match your profile, only after you confirm your subscription.
- Equal-opportunity monitoring — optional diversity answers are used only to track how inclusive our hiring is, never to make decisions about you.
- Security — to keep the website and our forms safe from spam, fraud and abuse.
- Analytics — if you accept, to understand in aggregate how the site is used so we can improve it.
We do not sell your personal data, and we do not use it for advertising or automated decision-making.
4. Our legal bases
- Steps before entering a contract — processing job and Institute applications you send us.
- Legitimate interests — replying to inquiries, and protecting our website and forms from abuse.
- Consent — the talent pool, optional equal-opportunity answers and analytics. You can withdraw consent at any time (see Your rights).
- Legal obligations — where we must keep records by law, for example employment records.
5. Storage and retention
Where your data goes. When you submit a form, our form-processing service saves the information in our database so authorised Meortech staff can review it in our password-protected admin area, and a copy is sent by encrypted email to Meortech's business mailbox. Any CV you attach is sent only by email — it is not stored in our database (the processing service keeps a technical log of each submission, including any attachment, for up to 7 days so we can fix delivery problems, then deletes it automatically). A confirmation email is sent to you. Only Meortech staff who need the information to do their job can access it.
How long we keep it.
- Unsuccessful job applications: up to 12 months after the recruitment process closes, then deleted — unless you ask us to keep you in mind for future roles.
- Successful job applications: moved to your employee record and kept for the duration of employment and as required by Ghanaian law.
- Ohr Institute applications: up to 12 months after the admission decision for the cohort you applied to; longer if you enrol.
- Contact inquiries: up to 24 months after our last correspondence.
- Talent pool: until you unsubscribe. We review the list every 24 months and remove inactive addresses.
- Copies of submissions saved in our database are deleted automatically after 12 months, or sooner when we no longer need them.
- Technical/security data: IP addresses are kept only as anonymised (hashed) values for up to 24 hours for rate-limiting; our hosting providers keep standard access logs for a short period for security.
We protect your data with HTTPS encryption across the whole site, restricted access to our mailbox and admin tools, and spam and abuse protections on every form.
6. Third parties we use
We use a small number of trusted service providers who process data on our behalf and only on our instructions:
| Provider | Purpose |
|---|---|
| Cloudflare | Website hosting (Cloudflare Pages). Delivers the website's pages and handles technical data such as IP addresses when you visit. |
| Google Cloud | Runs our form-processing service (n8n), which receives form submissions, checks them for spam and sends the related emails. Located in the United States. |
| Neon | Database. Stores the copies of form submissions kept for our admin area. Located in the United States. |
| Namecheap Private Email | Business email. Delivers form submissions to us and confirmation emails to you. |
| Plausible Analytics | Privacy-friendly, cookieless website statistics — only if you click "Accept". Data is aggregated and hosted in the EU. |
| Cloudflare Turnstile | If enabled on our forms, checks that submissions come from a real person rather than a bot. |
Some of these providers may process data outside Ghana (for example in the United States or European Union). Where that happens, we rely on the provider's contractual and security safeguards to protect your data to the standard required by Act 843 and, where applicable, the GDPR.
We may also disclose data if required by law, a court order or a regulator, or to protect the rights and safety of Meortech, our users or others.
7. Cookies & analytics
We don't use advertising or tracking cookies. The site stores a few small items in your browser's local storage that it needs to work:
- meortech-cookie-consent — remembers whether you accepted or declined analytics.
- meortech-splash-seen — remembers that you've seen the intro animation during this visit (cleared when you close the tab).
If you accept analytics, we load Plausible Analytics, which measures visits without cookies and without collecting personal data. If you decline, no analytics script is loaded at all.
You can change your choice at any time using (also in the footer of every page).
8. Your rights
Under Act 843 (and the GDPR where it applies) you have the right to:
- Access the personal data we hold about you and receive a copy.
- Correct data that is inaccurate or incomplete.
- Delete your data, or ask us to stop using it, where we have no overriding reason to keep it.
- Object to processing based on our legitimate interests, and to direct marketing at any time.
- Withdraw consent — for example, leave the talent pool or turn off analytics — without affecting earlier processing.
- Data portability where the GDPR applies.
To exercise any of these rights, email info@meortechnologies.com. We'll respond within 30 days and may ask you to verify your identity first.
If you're unhappy with how we've handled your data, please contact us first so we can put it right. You can also complain to the Data Protection Commission of Ghana (dataprotection.org.gh) or, if you live in the EU or UK, to your local data protection authority.
9. Children
Our website, careers and Ohr Institute programmes are intended for adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their data, contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. If we make significant changes, we'll highlight them on this page.
